1. Business and privacy officer

Soludek is the operating name of Soludek Solution Numerique, a sole proprietorship at 18 rue de Boisjoli, Granby, Québec J2H 2E4, Canada. The proprietor, as the person exercising the highest authority, is responsible for the protection of personal information unless that responsibility is delegated in writing. Contact the privacy officer at [email protected], 514-577-3299, or the postal address above. This notice covers our website and services and explains our role when we handle information for a customer business.

2. Information collected and purposes

We collect the names, email addresses, optional phone numbers, project details and materials you submit through forms, accounts, email and service requests. We also hold account and authentication records, consent versions and timestamps, chosen contract language, service and payment records, support correspondence and follow-up notes. These serve to answer you, prepare and deliver services, administer billing, protect accounts and document the relationship. Payment providers supply transaction, invoice and subscription updates. Website content you authorize for publication becomes public. Required fields identify what is needed for the requested step; optional details can be omitted. Do not provide sensitive information or information about children that is unnecessary for the service. A quote request or purchase does not subscribe you to marketing.

3. Cookies, browser storage and analytics

Essential cookies support sign-in and protection against forged requests. Browser storage remembers language, your analytics choice, and temporary order details or private payment-link credentials needed to resume checkout. Keep private payment links confidential, especially on shared devices. Optional page-view analytics stay off unless you allow them. The analytics dataset stores an allowed public-page path and the time of the view, without query strings, private account or payment pages, IP addresses, user agents, customer IDs or persistent visitor identifiers. These are consenting page views, not unique visitors. Hosting and security systems may separately process IP addresses and operational logs to operate and protect the service. Use Privacy choices in the footer to refuse or withdraw analytics consent at any time, without affecting services. Withdrawal stops subsequent optional collection; existing counts without visitor identifiers cannot be linked back to you.

4. Email and marketing choices

Resend processes recipient addresses and message content for account verification, recovery and service communications. If you separately opt in to promotional email, Brevo processes your contact details, subscription preferences and campaign delivery information. Campaign open and click statistics may also be processed depending on provider settings; these are separate from website page-view analytics. You can withdraw marketing consent through the unsubscribe link, your email preferences, or [email protected]. Withdrawal must be acted on no later than 10 business days. Necessary account and service messages may continue. Consent and suppression records may be retained to demonstrate and respect your choice. Marketing is optional and is not a condition of a quote, account or purchase.

5. Payments and information handled for customer businesses

Stripe processes payment-card details on its payment pages. We receive payment identifiers, amounts and invoice/subscription status, not the full card number through this checkout. For hosted customer businesses, Soludek may process their customers’ names, email addresses, phone numbers, service choices, messages and consent records to operate request forms. Loyalty services also process member contact and verification information, card identifiers, balances, transactions and staff actions. Apple Wallet updates may require protected push tokens and device-identifier hashes; Apple, Google and verification providers process information needed for the enabled integrations. A membership QR code is an access credential and should be kept private. The participating business determines the purposes of its own customer program and must supply its own notice. Send requests about that business’s customer records to it; you can contact us for assistance identifying the appropriate contact.

6. Access, providers and processing outside Québec

Access is restricted by role and service needs to the proprietor and authorized service providers for hosting, backups, communications, payments, support and agreed integrations. If authorized workers are assigned to a project, access must be limited to what their work requires. We do not sell personal information. Disclosure for a legal demand or another exception is limited to what applicable law permits. Providers may store or process information outside Québec, including outside Canada, where other laws and access by authorities may apply. Contact the privacy officer for details of the providers and locations used for your service. Before an outside-Québec transfer covered by law, a privacy impact assessment and appropriate written agreement are required; acceptance of this policy does not replace those safeguards.

7. Retention and security

Account and project information is needed while the relationship and service continue; billing and consent evidence may need to be retained longer for legal obligations and legitimate disputes. Different records can therefore have different retention periods. Information must be securely destroyed when its purposes are fulfilled, subject to legal retention, or anonymized only as Québec law permits. Archiving a customer or suspending a website is not deletion, and backup copies require separate handling. Contact the privacy officer about the retention applicable to a record or to request deletion; this is not an automatic account-deletion feature. The service uses access controls, protected authentication and secure connections. The proprietor is responsible for reviewing retention and safeguards and for handling confidentiality incidents, including recording incidents and notifying the Commission d’accès à l’information and affected people when the legal threshold is met.

8. Access, correction, portability and withdrawal

Send a written request to the privacy officer to access or correct your personal information. Identify the records and the right you want to exercise; we may request proportionate identity verification. The officer must respond in writing within 30 days of receiving an access or correction request and explain a refusal and available recourse. Where the law provides, you may obtain computerized information collected from you in a structured, commonly used technological format, or have it sent to another authorized organization; this right has statutory exceptions, including information created or inferred about you. You may also ask about use and disclosure, withdraw consent where applicable, and request deletion, cessation of dissemination or de-indexing when the legal conditions are met. Withdrawal may prevent a service requiring the information and does not cancel lawful retention duties.

9. Privacy complaints and policy changes

To make a privacy complaint, contact the privacy officer using the details above and describe the concern and desired response. The proprietor reviews the relevant records, may request necessary clarifications, and communicates the outcome and any corrective steps. You may also complain to the Commission d’accès à l’information du Québec or use its review procedures without first completing our internal process. For a disagreement about access or correction, the usual period to apply to the Commission is 30 days after refusal or expiry of the response deadline. This notice displays its revision date. Changes in purposes or processing remain subject to required notice and consent; merely publishing a revision does not authorize a new use that requires your consent.
